Who we are and our role
[Sentrix legal entity name] (“Sentrix”) provides compliance software. Our role depends on the data:
- Website and sales enquiries. For people who contact us or request a demo, we decide how the data is used and act as the controller.
- Customer data inside the platform. For records our customers load or screen in Sentrix, such as their customers’ identity details, transactions and case notes, we process the data on our customers’ instructions as their processor or service provider. The customer decides why it is used.
What we collect
- Enquiries: name, work email, company, job title, optional phone number, and anything you write in your message, including sector and where you operate.
- Account data: user names, work emails, roles, sign-in and security events.
- Platform data processed for customers: identity and screening results, transactions, risk ratings, cases and decisions.
- Technical data: device and log information needed to run and secure the service.
How we use it
- To respond to enquiries and arrange demos.
- To provide, secure, support and improve the service.
- To detect misuse, fraud and security incidents.
- To meet legal obligations and respond to lawful requests.
Legal bases
Where the law requires a legal basis, we rely on performing our contract with you, our legitimate interests in running and securing a business service, compliance with legal obligations, and consent where we ask for it. [Confirm against applicable law, for example GDPR, UK GDPR or the Nigeria Data Protection Act].
International transfers
Data may be processed in countries other than yours. Where we transfer it across borders, we use safeguards the law recognises: [describe, for example standard contractual clauses].
How long we keep it
We keep enquiry data for [period]. Platform data is kept while a customer’s agreement is active and then deleted or returned after [period], unless the customer’s regulators or the law require longer. Customers set their own retention within the platform where it is available.
Security
We protect data with measures such as mandatory two-step sign-in, role-based access, idle sign-out and audit trails. More detail is on our Security page.
Your rights
Depending on where you live, you may have the right to access, correct, delete or export your personal data, to object to or restrict certain uses, and to complain to your data-protection authority.
If your data sits in a customer’s Sentrix account, please contact that customer first; we will help them respond. For anything else, email [privacy@yourdomain].
Children
Sentrix is a business service and is not directed at children. We do not knowingly collect data from them.
Changes and contact
We will update this page when our practices change and note the date above. Contact us at [privacy@yourdomain] or [postal address].
